POSITION SUMMARY

The Coordinated Enrollment Manager will oversee and manage all aspects of eligibility, selection, and placement of children into Preschool Promise programs throughout Lane County, including working closely with families, providers, and community partners. In addition, this position facilitates the Lane Regional Stewardship Committee to coordinate outreach and recruitment efforts for all publicly funded early care and education programs, with an emphasis on reaching and serving priority populations.

This position also works closely with resource development, operations and marketing and communications staff and with all UWLC staff and departments; businesses; donors; nonprofit agency partners; community service groups; government agencies. This position is connected to and engaged with peer local United Ways and United Way Worldwide colleagues for continuous learning, growth and consideration of new ideas.

The ability to manage multiple projects simultaneously, maintain a high degree of accuracy and attention to detail, and thrive in a fast-paced environment with complex work is a necessity.

KEY RESPONSIBILITIES/ESSENTIAL DUTIES OF POSITION

An individual must be able to perform each essential duty listed below at a satisfactory level:

  • Ground coordinated enrollment and community building efforts in anti-racism, addressing systemic oppression, equity, wealth disparity, intersectionality, and other areas important to social justice.
  • Manage and facilitate all Preschool Promise and other early care and education-related projects, including continuous quality improvement, while developing and fostering positive, strategic relationships with external partner organizations, including the Department of Early Learning and Care, Quality Care Connections, Oregon Department of Human Services, Head Start of Lane County, Relief Nursery, and Early Childhood CARES.
  • Manage database families use to apply to Preschool Promise, including problem solving with site developer to improve user experience, assist families with submitting applications, run lotteries and pull reports.
  • Manage and track all Coordinated Enrollment contracts and budgets.
  • Communicate with all families and partners using trauma informed practices and high degree of customer service.
  • Enhance Preschool Promise providers' effectiveness through technical assistance, consultation, and resource sharing.
  • Lead community outreach and recruitment efforts, including working with Marketing team to create materials, and building relationships with governmental agencies, businesses, and community organizations, in coordination with partners and providers.
  • Represent Coordinated Enrollment and Preschool Promise at forums, meetings, and other community events.
  • Develop and deepen relationships with community partners and families to better understand the needs and circumstances of the region's priority populations, and participate in the planning of recruitment and engagement strategies that promote inclusion and belonging.
  • Facilitate data collection and analysis for the purposes of improving program quality and reporting to the Early Learning Division.
  • Develop deep knowledge of and connection to local and statewide resources for families, including basic needs support, parenting education, mental health services, healthcare, child care, and other critical support services.
  • Maintain confidentiality at all times; keep accurate, complete, and FERPA-compliant child/family records.
  • Provide a high degree of accuracy, quality and professionalism in developing documents, reports, proposals, and other correspondence.
  • Supervise a Coordinated Enrollment Specialist or Coordinator.
  • Approach problems with a systems-level perspective, provide feedback and suggest solutions to streamline and add value to processes.

JOB REQUIREMENTS

Minimum requirements include:

  • Bachelor's degree or equivalent with minimum five years related working experience, ideally in Early Childhood Education, Social Work, Marketing, Program Management, Business Administration or another related field.
  • Bilingual, bicultural in Spanish and English highly preferred
  • Hybrid work: In office work: 60% in office, 40% remote.

SALARY STATEMENT

The budgeted lifespan salary range for this position is currently $24.68 to $30.86 per hour. Proffered salaries are determined by several factors including applicant's knowledge, ­­­skills, experience, position, equity, and market.
