POSITION SUMMARY

The Administrative Specialist will provide administrative and organizational support to the daily operations of United Way of Lane County. This position assists with planning, execution and coordination of organizational projects and event activities.

This position works closely Human Resources, operations and with all UWLC staff and departments; businesses; donors; nonprofit agency partners; community service groups; government agencies. This position is connected to and engaged with peer Local United Ways and United Way Worldwide colleagues for continuous learning, growth and consideration of new ideas.

KEY RESPONSIBILITIES/ESSENTIAL DUTIES OF POSITION

An individual must be able to perform each essential duty listed below at a satisfactory level:

  • Ground work activities in anti-racism, equity, intersectionality, and other areas important to social justice
  • Assist with filing, paperwork, and processing, including confidential Human Resources work
  • Answer questions about resources & referrals, under guidance of the Director of Human Resources, and provide necessary forms and access
  • Help coordinate onboarding and off-boarding for employees
  • Assist with bulk mailing preparations, working with postage machine
  • Various data entry projects
  • Warmly welcome on-site visitors, arranging for appropriate staff involvement
  • Maintaining contact lists
  • Ordering and purchasing office supplies
  • Organization of copy and supply room
  • Maintaining the Share Point site
  • Recording and transcribing minutes of meetings and preparing for distribution
  • Mail responsibilities (including receiving, sorting, distributing, scanning checks, etc.)
  • Coordinating facilities needs with vendors
  • Assist with various phases of registration, check-in and support for events as directed
  • Auditing of payments, pledges, and other information in appropriate data bases for department needs

United Way of Lane County will consider any equivalent combination of knowledge, skills, education, and experience to meet minimum qualifications. A typical way to obtain the knowledge and abilities would be: Experience: One to five years of increasingly responsible experience in community organizing, nonprofit management, program coordination, volunteer management, project management, or related area.


Education: Degree or certification from an accredited college or university in nonprofit management, public policy, social sciences, human services, or related field.

  • Minimum requirements include:
  • Minimum of five years high level administrative support experience.
  • Experience in organizational, projects coordination and management.
  • Successful track record as a leader, organizer, team builder, problem-solver and strong interpersonal skills
  • Excellent communication skills, both written and oral.
  • Ability to support the work of several leadership volunteers, and maintain effective working relationships with all staff, agencies, donors, and volunteers.
  • Ability to work independently, making mature and sound decisions under constant deadline pressure.
  • Ability to manage and prioritize competing needs.
  • Strong technical skills and proficient in MS Word, Excel, PowerPoint and Outlook
  • Bicultural, multicultural preferred
  • Bilingual preferred, particularly Spanish/English proficiency

SALARY STATEMENT

The budgeted lifespan salary range for this position is currently $15.25 to $22.20 per hour. Proffered salaries are determined by several factors including applicant's knowledge, ­­­skills, experience, position, equity, and market.
